How to use comments on an order?

Using comments on an order

The comments feature allows shippers and logistics providers to communicate directly on an order, without relying on external email exchanges. All messages are timestamped and stored in a complete history to ensure full traceability.

Adding a comment

Two access points are available from an order page:

  1. Via the Actions button: click Actions at the top of the order, then select Add a comment.
  2. Via the Activity tab: go to the Activity tab of the order and type your message directly in the input field.

Notifications

For each new comment, all users of the other party automatically receive:

  • An in-app notification visible in the Spacefill interface
  • A summary email of the comment

If a shipper posts a comment, all users of the logistics provider are notified — and vice versa.

Viewing the exchange history

The Activity tab of the order centralizes all exchanges: comments, status changes, and events related to the order. This gives you a complete, chronological history of everything that has happened on the order.

Important points

  • Comments are not editable after publication, in order to guarantee the integrity and traceability of exchanges.
  • This feature is available to both shippers and logistics providers.

Common use cases

  • Reporting a discrepancy or anomaly on an order
  • Resolving a dispute directly within the tool, without email exchanges
  • Leaving specific instructions for order preparation or delivery
  • Keeping a written record of decisions made on an order
